Checklist

The OPD reception day checklist

A front desk runs the same loop all day: book, check in, send to the doctor, bill, and follow up. This checklist splits that loop into what to check before the first patient, during the day, and before closing — see the patient visit workflow diagram for the steps in order.

Buyer checklist

  • 01Open the day with nothing missed from yesterday
  • 02Keep the queue moving without losing a walk-in
  • 03Close the day with billing and follow-up cleared

The problem

The queue drifts because nobody owns the handoffs

A patient is seated but not sent to the doctor, seen but not billed, billed but not marked paid. Each gap is small; by afternoon the queue looks nothing like the diary.

How Clinov solves it

Check the same points, in the same order, every day

Open with yesterday's loose ends, keep every visit moving through check-in, doctor and billing without a gap, and close with the numbers reviewed and tomorrow's recalls confirmed.

What Yuktii covers

Yesterday's pending payments and unclosed visits reviewed

Today's booked appointments checked against doctor availability

Low-stock and expiring inventory alerts checked

Recall list for the day pulled up

Walk-in and emergency booking tested and ready

Every arriving patient checked in on arrival, not after

Patients moved to the doctor as soon as they're seated

Every consultation followed by a bill before the patient leaves

Payments recorded and pending balances noted

Today's snapshot report reviewed before closing

Tomorrow's recalls and follow-ups confirmed

Before the first patient

Check yesterday's invoices for anything still pending and any visit that was never checked out. Look at today's booked appointments against who is actually in. If the clinic tracks stock, check for low-stock and expiring items before the day starts, not when a consumable runs out mid-procedure.

As each patient arrives

A booked patient is checked in on arrival. A walk-in or an emergency is checked in as part of booking them; both join the same queue with a token. The habit that keeps a queue honest is checking in the moment someone arrives, not after they've been waiting for ten minutes.

Through the consultation and billing

Once the doctor completes the consultation, move the patient to billing before they leave the building, not at the end of the day from memory. Record the payment or note the pending balance immediately; a bill created but never marked paid is the most common gap in the queue.

Before closing

Review the day's snapshot: what was billed, what is still pending, and who was seen. Confirm tomorrow's recall list and any follow-up messages that need to go out. A short daily close is what keeps the recall list trustworthy instead of something nobody looks at.

When the queue gets busy

A walk-in or emergency should never mean losing track of a booked patient. Keeping every visit — scheduled, walk-in or emergency — in the one queue with a token and a priority is what lets reception see the true order, rather than guessing from memory who came first.

Common questions

What should reception check before opening?

Yesterday's pending payments and any visit that was never checked out, today's booked appointments against doctor availability, and stock alerts if the clinic tracks inventory.

How do walk-ins fit into a booked queue?

A walk-in or emergency is checked in as part of booking, and joins the same queue as scheduled visits with its own token, so reception works from one list, not two.

What is the most common gap in an OPD queue?

A visit that reaches the doctor but is never billed, or is billed but never marked paid. Moving straight from consultation to billing before the patient leaves closes that gap.

What should the closing checklist cover?

The day's snapshot of billing and pending balances, and tomorrow's recall and follow-up list, so nothing carries over silently to the next day.

Your data

Your data, your reports, your call

Everything you enter belongs to your clinic

Clinic and patient data is the clinic’s own. A clinic admin can download all of it whenever needed as one Excel workbook, with a sheet each for patients, appointments, treatments, prescriptions, billing, payments, inventory and staff.

Moving from another software?

Send us your existing records as an Excel or CSV file. Our team maps the columns, checks every row for problems and imports your patients, appointments, treatments, prescriptions, invoices and payments after review. An import can be rolled back if something is wrong. Talk to us about switching.

Reports you can download as PDF

Download the overview, today’s snapshot, revenue, expenses, patients, doctors, treatments, medicines, lab cases, stock and doctor commission as PDF reports. The analytics cover clinical, revenue, patient, doctor, inventory and operations views for any period you choose, with AI insights on top.
