Checklist

The clinic digitisation checklist — moving off paper without stopping the clinic

Buying software is a decision. Moving a working clinic onto it is a project. This checklist is the order of steps, not a features list — see the software features checklist for that. It is written from how Yuktii’s own setup and import process work, so every step names something you can actually do.

Buyer checklist

  • 01Decide what to migrate and what to leave on paper
  • 02Bring old records across without losing anything
  • 03Train the front desk and doctors before go-live
  • 04Run go-live without a day of chaos

The problem

Migrations fail at the handoff, not at the sign-up

A clinic signs up, imports nothing, and reception ends up running the old register and the new software side by side for months, trusting neither.

How Clinov solves it

Move in a fixed order, with a real cut-off

Set the clinic up, bring the old list across, train the two groups who will use it daily, agree the date paper stops, and run one day in parallel before you commit to it.

What Yuktii covers

Clinic profile: name, address, working hours, chairs or consulting rooms

Roles decided: who is a doctor, who is admin-only, solo or multi-doctor

Team added with their own logins, not one shared password

Specialty enabled, so presets and templates are ready

Prescription, consent and procedure templates reviewed and edited to match the clinic

Old patient list exported as Excel or CSV

A cut-off date agreed: paper stops, software starts

One real day run in parallel before trusting it fully

Front desk trained on booking, check-in and billing

Doctors trained on the consultation and prescription screens

A plan for what happens to the paper registers afterward

Before you start: set up the clinic, not just the account

In Yuktii's setup wizard this is the clinic's name, address, working hours and its chairs or consulting rooms, then who is a doctor and who is admin-only, and whether the clinic runs as solo-doctor or multi-doctor. Get this right first: it is what the appointment calendar and every invoice will use.

Bring the old patient list across, don't retype it

Export existing patients as an Excel or CSV file. Yuktii's team maps the columns, checks each row for problems and imports after review, and an import can be rolled back if something is wrong. Retyping hundreds of patients by hand is the single biggest reason a migration stalls.

Turn on the specialty and check the presets

Enabling a specialty creates its starter presets, procedure templates, consent forms and prescription templates. Open each one before go-live and edit it to match how the clinic actually works — the letterhead, the consent wording, the medicines used.

Add the team, don't share one login

Each doctor and staff member gets their own account and a temporary password. Shared logins make the audit log meaningless and make it impossible to know who did what.

Agree a cut-off, not a slow fade

Pick the date the paper register stops and the software becomes the record. A slow fade, where both are kept “just in case”, is how clinics end up running two systems for a year.

Run one real day before you trust it

Before the cut-off, run a full day on real patients: book, check in, consult, prescribe, bill and follow up. It surfaces the gaps a demo never shows — a missing consent template, a prescription format the doctor doesn't like — while paper is still the backup.

Train the two groups separately

Reception needs booking, check-in, walk-ins and billing. Doctors need the consultation screen, presets and prescriptions. Training them together wastes both groups' time on screens they won't use.

Decide what happens to the old paper

Old registers usually need to be kept for a retention period even after digitisation. Decide where they are stored and for how long before the migration, not after someone asks for a five-year-old record.

Common questions

How long does moving a clinic onto software take?

It depends on the clinic's size and how much old data is brought across. The steps here — setup, import, template review, training, one parallel day, cut-off — are the order that avoids running two systems for months.

Can I import my existing patient records?

Yes. Send them as an Excel or CSV file; Yuktii's team maps the columns, checks each row and imports after review, and the import can be rolled back.

Do I need to train reception and doctors together?

No. They use different screens day to day, so training them separately on what they will actually use is faster.

Should I run the old and new systems together?

For one day, yes, to catch problems while paper is still the backup. Longer than that, and the clinic tends to trust neither system.

Is there a free way to try this before committing?

Yes. Yuktii is free for the first 20 patients with the full platform and no credit card, so the whole migration checklist can be run before paying.

Your data

Your data, your reports, your call

Everything you enter belongs to your clinic

Clinic and patient data is the clinic’s own. A clinic admin can download all of it whenever needed as one Excel workbook, with a sheet each for patients, appointments, treatments, prescriptions, billing, payments, inventory and staff.

Moving from another software?

Send us your existing records as an Excel or CSV file. Our team maps the columns, checks every row for problems and imports your patients, appointments, treatments, prescriptions, invoices and payments after review. An import can be rolled back if something is wrong. Talk to us about switching.

Reports you can download as PDF

Download the overview, today’s snapshot, revenue, expenses, patients, doctors, treatments, medicines, lab cases, stock and doctor commission as PDF reports. The analytics cover clinical, revenue, patient, doctor, inventory and operations views for any period you choose, with AI insights on top.
