Guide

How to run a high-volume OPD clinic without losing notes, patients or follow-ups

A general physician's morning is a queue problem and a documentation problem at once. This guide lays out a process for a 40–60 patient OPD that works on paper, then shows where Yuktii removes the typing.

Buyer checklist

  • 01Order the queue so walk-ins and appointments don't collide
  • 02Document a routine visit in under a minute
  • 03Make prescriptions and investigations a tap, not a rewrite
  • 04Bring the right patients back without a register

The problem

A short consultation leaves no time to write, or to find last month's note

A systematic review of primary-care consultation length (Irving et al., BMJ Open 2017; 28.6 million consultations in 67 countries) found times ranging from 48 seconds in Bangladesh to 22.5 minutes in Sweden, with 18 countries representing about half the world's population spending 5 minutes or less. Press coverage of the study put India's average at about two minutes. In a window that short the note is a scribble, last month's prescription is in a file nobody can reach mid-consultation, and the recheck you asked for in two weeks depends on the patient remembering to come back.

How Clinov solves it

Presets in front, one record behind

Yuktii gives the physician tap-to-add presets for common complaints, findings, diagnoses and advice, prescriptions from reusable templates, and one timeline that shows the last visit, reports and dues before the patient sits down.

1. Separate the queue from the appointment book

Booked patients and walk-ins compete for the same doctor minutes, so reception needs one live list, not two. Give each arrival a token in the order they are ready for the doctor, and let a booked patient who arrives late rejoin behind the person already waiting. The rule matters less than everyone applying the same one. Yuktii's reception queue shows the doctor who is waiting and who is next.

2. Cut documentation to what changes

Most follow-up visits repeat the same complaint patterns, findings and advice. Build a short list of your own common complaints, findings and diagnoses and tap them instead of typing, then edit only what differs. In Yuktii these presets sit on the consultation screen, and vitals are recorded on the same record so the note starts with the numbers already in it.

3. Template the prescriptions you write every day

Fever, acute gastritis, hypertension review, URTI: most physicians write a handful of prescriptions dozens of times a week. Save them as templates and adjust the dose or duration per patient. Yuktii builds a prescription from a reusable template and produces a patient-ready PDF, which can be sent on WhatsApp.

4. Keep investigations attached to the visit that asked for them

Advise the test from the consultation, and when the report comes back attach it to the same patient record. The next visit then opens with the finding beside the complaint that triggered the test, instead of a folder of loose reports.

5. Turn follow-up into a list, not a memory

Every visit that needs a recheck — BP in two weeks, repeat blood work in a month — should leave a dated follow-up behind. Reception works that list daily and reminds patients ahead of the date. Missed follow-ups are the main quiet revenue and outcome leak in a general practice.

Common questions

How long should a routine OPD note take?

There is no fixed number, but with presets and a prescription template a routine follow-up can usually be documented while the patient is still in the room. The aim is a structured note finished before the next patient enters, not one written in the evening from memory.

Can Yuktii handle several doctors in one OPD?

Yes. Multiple doctors and reception staff can share one clinic with role-based access, a shared appointment book and per-doctor reporting.

Does this replace my paper case sheet?

Yuktii works like a digitised case sheet: complaints, examination, diagnosis, advice and prescription are on one screen. Many clinics run both for a few days and then drop the paper once they trust the flow.

Is there a free way to try it on a real OPD?

Yes. The first 20 patients are free with the full platform and no credit card, which is enough to test a real morning of OPD.

Your data

Your data, your reports, your call

Everything you enter belongs to your clinic

Clinic and patient data is the clinic’s own. A clinic admin can download all of it whenever needed as one Excel workbook, with a sheet each for patients, appointments, treatments, prescriptions, billing, payments, inventory and staff.

Moving from another software?

Send us your existing records as an Excel or CSV file. Our team maps the columns, checks every row for problems and imports your patients, appointments, treatments, prescriptions, invoices and payments after review. An import can be rolled back if something is wrong. Talk to us about switching.

Reports you can download as PDF

Download the overview, today’s snapshot, revenue, expenses, patients, doctors, treatments, medicines, lab cases, stock and doctor commission as PDF reports. The analytics cover clinical, revenue, patient, doctor, inventory and operations views for any period you choose, with AI insights on top.
