01What a clinic CRM is, and what it is not
A clinic CRM keeps track of the relationship between a clinic and its patients: who enquired, who is due back, who has been contacted and what was said. In Clinov that is inquiries, follow-ups, recalls and WhatsApp messages, all attached to the patient record. It is not a sales-lead tool: it does not pull leads in from adverts or a website form, and your team logs each inquiry when it arrives.
02New patient inquiries
Log the person's name and phone, the treatment or complaint they asked about, their preferred date, how they heard about the clinic, and an estimate range with the consultation fee and how many days the quote stays valid. Each inquiry has a status (Open, Quoted, Converted or Closed), a follow-up date and staff notes, and a summary shows this month's inquiries, open ones, conversions and follow-ups due. Phone, email and complaint are stored encrypted.
03From inquiry to patient
When the person books, convert the inquiry. Clinov creates the patient from the details already entered (name, contact, age and gender), marks the inquiry Converted and keeps the link, so nothing is typed twice and you can see which inquiries turned into patients.
04Follow-ups for existing patients
The Follow-ups screen is a single worklist: recalls that are overdue, due this week or upcoming, alongside the next visit of any multi-stage treatment. Each recall has a status (Pending, Due, Overdue, Contacted, Booked, Completed or Cancelled), and you can book an appointment directly from a recall.
05Recall workflows
An admin sets the recall rules and can load a default set, so recalls follow the clinic's own intervals. The remind-tomorrow action lists the patients whose recall falls due tomorrow so you can review the list, then sends the reminders in one go.
06WhatsApp, one to one
Connect the clinic's WhatsApp number by QR code or pairing code. Appointment reminders go out automatically, and prescriptions and invoices can be sent as PDFs from their own screens; messages are logged against the patient. Message templates are managed by an admin, a failed message can be retried, and patients' replies are recorded in the same conversation.
07WhatsApp campaigns
Pick patients by the treatment they had, write the update once and send it. The preview shows how many are eligible and how many are excluded for having no phone or no notification consent. Campaigns go out through the WhatsApp Business API as an approved message template, not through the linked phone, and are paced. You see sent, failed and skipped for every patient, can retry failures, and an admin can cancel a running campaign. WhatsApp campaigns are included on paid plans, not on the free plan.
08Consent and privacy
Reminders and campaigns skip patients who have not given notification consent. Patient phone numbers and emails are stored encrypted. Only admins can send campaigns.
