Yuktii

Appointment and walk-in workflow guide for clinics

Appointments, walk-ins and emergencies do not need three different systems — they need one queue and a clear order of steps. This guide sets out how that works in practice, and how Yuktii records each stage of the visit.

Buyer checklist

  • 01Decide between fixed appointments and a token queue, or both
  • 02Fit walk-ins and emergencies into a booked day without losing track of anyone
  • 03Cut no-shows with confirmations and reminders
  • 04See the exact steps a visit goes through, so nothing is skipped

The problem

Appointments and walk-ins collide

The doctor can't tell who was there first.

How Clinov solves it

Clinov puts both in one queue

Booked and walk-in patients share a live queue with tokens.

Fixed slots, a token queue, or both

A specialist consultation usually suits a fixed time slot; a busy general OPD suits a token queue where patients are seen roughly in arrival order. Yuktii supports both: every appointment is booked for a doctor and a chair or room with a length you choose, and every patient also gets a queue token for the day with a priority, so a fixed-slot clinic and a token-queue clinic use the same underlying record.

Five ways a visit can start

A booking is one of Scheduled, Walk-in, Same-day extra, Emergency or a Manual override. A walk-in or emergency is checked in as part of booking, so it joins the same queue as a booked patient instead of a separate list — reception works from one queue, not several.

Two guardrails that stop double-booking

Bookings respect the clinic's working hours, and unless the clinic explicitly allows overlap, Yuktii will not start a second active patient on the same chair or with the same doctor while one is still in progress. This catches the most common scheduling error — two patients quietly booked into the same slot — before it becomes a waiting-room argument.

Confirm at booking, remind before the visit

A WhatsApp confirmation goes out when the appointment is booked, and a reminder goes out in the hour before the visit; neither is sent to a patient who has declined notifications. This is what actually reduces no-shows: a confirmation catches a mistaken booking early, and a same-day reminder catches a forgotten one.

Let patients book without calling

A clinic can turn on a public booking link, set the length of online slots, and set a minimum number of hours' notice a booking needs. This moves routine bookings off the phone without removing the clinic's control over its own calendar.

The steps one visit goes through

Booked, checked in, seated, sent to the doctor, consultation, billing, paid, checked out — in that order, with a status of no-show if the patient never arrives. See the patient visit workflow diagram for these steps laid out visually.

Follow-up is the next appointment, not an afterthought

Recall rules can be set by treatment type with offsets in days, so a review after a procedure or a chronic-condition check-up is scheduled automatically onto a recall list rather than depending on someone remembering.

Common questions

Should a clinic use appointments or a token queue?

Fixed appointments suit predictable specialist consultations; a token queue suits a high-volume general OPD. Many clinics use both — in Yuktii, every booking gets both a scheduled slot and a queue token.

How do walk-ins and emergencies fit into a booked day?

They are checked in as part of booking and join the same queue as scheduled patients, with a priority, so reception is not juggling a separate walk-in list.

What actually reduces no-shows?

A confirmation when the appointment is booked, and a reminder shortly before the visit — both sent automatically on WhatsApp unless the patient has declined notifications.

Can two patients be booked into the same chair by mistake?

Not by default. Yuktii will not start a second active patient on the same chair or with the same doctor while one is still in progress, unless the clinic has explicitly allowed overlap.

Can patients book their own appointment online?

Yes, if the clinic turns on its public booking link, with a slot length and minimum notice period the clinic sets.

What happens after a missed appointment?

It is recorded with a no-show status. Yuktii does not send an automatic rebooking message; reception follows up from the record.

How is a follow-up visit scheduled?

Through recall rules set by treatment type with day offsets, which put the patient on a recall list rather than relying on memory.

Your data

Your data, your reports, your call

Everything you enter belongs to your clinic

Clinic and patient data is the clinic’s own. A clinic admin can download all of it whenever needed as one Excel workbook, with a sheet each for patients, appointments, treatments, prescriptions, billing, payments, inventory and staff.

Moving from another software?

Send us your existing records as an Excel or CSV file. Our team maps the columns, checks every row for problems and imports your patients, appointments, treatments, prescriptions, invoices and payments after review. An import can be rolled back if something is wrong. Talk to us about switching.

Reports you can download as PDF

Download the overview, today’s snapshot, revenue, expenses, patients, doctors, treatments, medicines, lab cases, stock and doctor commission as PDF reports. The analytics cover clinical, revenue, patient, doctor, inventory and operations views for any period you choose, with AI insights on top.
